Introduction to Document Management
A Central Home for Every File
Rather than files scattered across email attachments and individual records, the Documents app gives every file (and folder) a single place to live, with tags, sharing rules, and links back to whatever business record it belongs to (an invoice, a contact, a project task).
Core Concepts
| Concept | Description |
|---|---|
| Document | A single file or a folder — both use the same underlying record, with folders simply being documents that contain other documents. |
| Tag | A free-form label for cross-cutting classification (e.g. "Contract," "Signed," "2026") independent of which folder a file sits in. |
| Linked Record | The business record (invoice, contact, task, employee) a document is attached to, if any. |
| Access/Share | Who — internal users, or an external customer/vendor via the portal — can view or upload to a folder or file. |
Where Documents Come From
Files land in Documents automatically from many places — an emailed invoice PDF, an uploaded employee contract, a signed sales quotation — so it becomes the natural single search destination even for files you never manually filed yourself.
