Finding Your Data Quickly

Quickenerp provides powerful search and filtering capabilities across all views. Mastering these will save you hours each day.

Global Search (Ctrl+K)

The global search bar in the top-right corner (or press Ctrl+K) searches across all modules simultaneously.

What It Searches

  • Menu items – Type "Sales Orders" to navigate directly to that menu.
  • Records – Type any record name, reference number, or customer name. Results show the module icon for context.
  • Actions – Type "Create Invoice" or "Import" to jump to those actions.
  • Settings – Type a setting name to navigate to it directly.

Search Tips

  • Results appear after typing 2+ characters.
  • Use arrow keys ↑– to navigate results.
  • Press Enter to open the highlighted result.
  • Results are grouped by module with icons for easy identification.

Inline Search (Within a List View)

Each list view has its own search bar at the top. This searches only within the current module/model.

  • Type a keyword and press Enter – Quickenerp searches across name, reference, and other text fields.
  • Use Advanced Search by clicking the magnifying glass icon or pressing Ctrl+F within the list.

Filters

Filters narrow down the records shown in the current view. The filter bar sits below the search bar.

Predefined Filters

Click the Filters button to see a dropdown of commonly used filters:

  • My Records – Shows only records assigned to the current user.
  • Created This Month – Records created in the current calendar month.
  • Archived – Shows archived records (hidden by default).
  • Module-specific filters: e.g. "Overdue Invoices", "Low Stock Products", "My Tasks".

Custom Filters

When predefined filters aren't enough, create your own:

  1. Click Filters > Add Custom Filter.
  2. A filter row appears. Field – choose the field to filter on (e.g. "Total Amount", "Customer", "Creation Date").
  3. Operator – choose the comparison: equals, is not, contains, starts with, greater than, less than, is set, is not set, is between, etc.
  4. Value – enter the value to compare against. For date fields, you can use relative dates like "This Month" or "30 days ago".
  5. Click Apply to activate the filter.

Combining Multiple Filters

You can activate multiple filters at the same time:

  • All active filters use AND logic – a record must satisfy ALL active filters to appear.
  • To create OR logic, use the "or" filter option in the dropdown next to the filter field.
  • Active filters are shown as coloured pills below the search bar. Click the -- on a pill to remove that filter.

Grouping

Grouping organises records into collapsible sections, making it easier to browse large datasets.

How to Group

  1. Click the Group By button next to Filters.
  2. Select a field to group by (e.g. "Sales Team", "Country", "Stage", "State").
  3. Records are automatically organised into sections with section headers.
  4. Each section shows the count of records in brackets, e.g. "Sales Team: Enterprise Sales (23)".
  5. Click a section header to expand/collapse it.
  6. Group by multiple fields for deeper drill-downs (e.g. Country > State > City).

Favourite (Saved) Searches

If you use the same filter/group combination frequently, save it for one-click access:

  1. Set up your filters and grouping as desired.
  2. Click the Save Current Search button (star icon) next to the Filters button.
  3. Give it a name (e.g. "My Overdue Invoices Over $5000").
  4. Optionally check Share with all users to make it available to everyone.
  5. The saved search appears in the Filters dropdown for quick access.
  6. Manage saved searches via the menu icon (⋮) next to the search name.

Recent Search Improvements

  • Natural Language Search – The new search engine understands natural language queries like "invoices from last month" or "tasks assigned to me".
  • Search Suggestions – As you type, Quickenerp suggests relevant filters and records based on your input.
  • Persistent Filters – Filters you apply are remembered for the next time you visit the same view within your session.
